Terms and Condition

Set out below are the terms on which The Clinic Room provides services to its clients. Please ensure that you have read and fully understood them prior to booking any treatments. 

    Terms and Conditions 

    These Terms and Conditions (“Terms”) govern the use of facilities, systems, and services provided by The Clinic Room. By booking through The Clinic Room’s systems, entering our premises, or engaging with practitioners who operate within The Clinic Room, all clients and practitioners acknowledge and agree to be bound by these Terms in full.

    1. The Nature of The Clinic Room’s Services

    The Clinic Room is not a medical or aesthetic treatment provider. It is a hub and social media powerhouse that offers independent practitioners access to professional clinic space, marketing services, booking and payment systems, and general administrative support. The Clinic Room operates exclusively as a room rental and marketing company. All treatments are carried out by independent practitioners who use The Clinic Room’s facilities and systems to conduct their work. These practitioners are solely responsible for their clients, treatments, aftercare, and all professional outcomes. The Clinic Room plays no role in the design, administration, or supervision of treatments.

    2. Independent Practitioners

    All practitioners working within The Clinic Room operate as independent contractors. They are not employees, partners, or agents of The Clinic Room, and nothing in these Terms shall be interpreted as creating any form of partnership, joint venture, or employment relationship.

    Practitioners are required to maintain their own professional qualifications, accreditations, registrations, and insurance in accordance with applicable UK law. The responsibility for verifying compliance, treatment suitability, aftercare, and patient outcomes rests entirely with the individual practitioner.

    3. Client Acknowledgement

    Clients who book consultations or treatments through The Clinic Room’s systems acknowledge that The Clinic Room itself is not their treatment provider. All clinical services are delivered exclusively by independent practitioners. The Clinic Room shall not be liable for any injury, dissatisfaction, negligence, malpractice, or outcome related to treatments. In the event of a claim or dispute, The Clinic Room’s sole obligation shall be to provide the client with the treating practitioner’s contact information, which may include their full name, email address, and, where available, a telephone number or organisational contact details.

    4. Deposits, Bookings and Cancellations

    To secure an appointment, clients are required to pay a deposit, typically in the amount of £20. This deposit is either deducted from the final treatment cost if the client proceeds, or retained if the client fails to provide at least 48 hours’ notice of cancellation or rescheduling. Deposits not applied within three months of inactivity may be withheld. The Clinic Room reserves the right to refuse or cancel bookings where deposits have not been secured. Where practitioners cancel or reschedule appointments, The Clinic Room will assist in facilitating communication between the practitioner and the client, but shall not be held liable for any resulting loss or inconvenience.

    5. Refund Policy, Medical Conditions and Instalment Plans

    Procurement and Consumables Payment of a deposit does not merely reserve an appointment slot. Upon receipt of the deposit, The Clinic Room’s procurement and scheduling system is triggered, which immediately orders and allocates all consumables required for the client’s entire treatment plan as agreed at consultation. Consumables are ordered directly from third-partymanufacturers and suppliers, purchased in advance, and allocated specifically to the client’s chosen treatments. This process secures the practitioner’s diary and treatment availability. As a result, consumables are non-transferable and non-refundable. Practitioners are liable for the cost of consumables purchased on their behalf, even where only a partial deposit has been paid by the client. Clients acknowledge that because The Clinic Room and the practitioner incur immediate financial outlay upon booking, refunds are not possible once a deposit has been made.

    Medical Conditions and Contraindications If, during the course of treatment, a medical condition arises that renders it unsafe or inappropriate to continue (a contraindication), refunds shall not be granted.

    In such cases, the treatment plan will be stopped and any associated instalment plan may be cancelled to prevent further charges. However, all payments already made will remain non-refundable. Instalment Plans The Clinic Room, as a goodwill gesture, offers clients the option to pay for treatments by way of a 0% interest instalment plan. These plans are interest-free, but legally binding. By entering into an instalment plan, clients agree to pay the full agreed amount, even if they later choose to stop their treatments prematurely. Should instalment payments not be honoured, the outstanding balance will be deemed a debt. Clients accept that unpaid debts may be pursued by The Clinic Room or its practitioners through third-party debt collection agencies, and that all reasonable collection costs may be added to the client’s liability. Cancellation or

    Non-Attendance If a client cancels late, fails to attend, or chooses not to proceed after booking, they accept that The Clinic Room and the practitioner will already have incurred financial costs due to consumables ordered and appointments allocated. In such circumstances, deposits and payments already made are retained in full. Refunds are not available for treatment courses, vouchers, discounted treatments, or instalment plans.
